Who we are

Rebuild Fit Club is a fitness, Pilates and yoga centre at Urban Estate, near Sat Paul Mittal School Road, Phase 2, Duggri, Ludhiana, Punjab 141001. In this policy, "we" and "us" mean the centre, and "the app" means the Rebuild Fit Club member and staff apps and this website.

What we collect

• Membership details: your name, phone number, email address and profile photo, and, if you choose to give them, your date of birth, gender and an emergency contact number, along with the dates your membership runs.
• Training and health information you share: goals and any injuries or conditions you tell your coach about, workout and diet plans, and the exercises and meals you tick off.
• Attendance and access: check-in times from your QR pass or a front-desk device.
• Payments: the amounts, dates, mode (for example cash) and receipts for your membership. We do not store card numbers.
• Sign-in and device data: your sign-in email or phone, one-time codes, and basic technical logs such as time of access.
• Messages: if you message the centre on WhatsApp, we keep the text so that staff can reply.

Why we use it

• To run your membership: signing you in, checking you in, recording payments and showing you your plans and receipts.
• To coach you safely, including adjusting plans around injuries you tell us about.
• To send you service messages by email, SMS or WhatsApp, such as sign-in codes, receipts, and membership expiry or fee reminders.
• To keep the service secure and to find and fix problems.

We send reminders and similar messages on WhatsApp only to members who have agreed to receive them. You can say STOP in the chat, or tell the front desk, and we will stop.

Who can see your information

Only the centre's owner and the staff who need it to do their work can see your details, and what each person sees depends on their role. Your information is kept separate from other organisations that use the same software. We do not sell your information or use it for third-party advertising.

We use trusted service providers to run the software, send email, SMS and WhatsApp messages, and store backups. They may handle your information only to provide those services to us. We may also share information if the law requires it.

How long we keep it

We keep your membership and payment records while you are a member and for as long afterwards as we need them for accounts, tax and legal reasons. WhatsApp message text is deleted automatically after 90 days. Backups are rotated on a schedule and expire in due course.

How we protect it

The service runs over encrypted connections. Sign-in uses one-time codes or passwords stored in a protected form, and the system limits what each role can open. No system is perfectly secure, so please keep your password and codes to yourself and tell us right away if you think your account was used by someone else.

Your choices

• Ask to see, correct or update the information we hold about you.
• Ask us to delete your information. We may need to keep some records, such as payment receipts, where the law or our accounts require it.
• Withdraw your consent to messages at any time.

To use any of these choices, tell the front desk or contact us as described below. We will respond within a reasonable time.

Children

If you are under 18, a parent or guardian should join with you and agree to this policy on your behalf.

Changes

We may update this policy. The date at the top shows the latest version. Where a change matters, we will tell members through the app or at the front desk.
